Odoo for Automotive & Vehicle Service

I build the workshop's paper trail into Odoo itself: one job card carries the vehicle from digital inspection through customer-approved estimate to the gate pass at hand-back, with nothing settled off the record.

The challenge

Out of the box, Odoo's Fleet and Sales apps can track a vehicle and quote a job, but neither understands a workshop floor: there's no job card with bay scheduling and hold reasons, no digital inspection that turns a failed brake check into a priced estimate line, and no gate pass for the guard at the exit.

Automotive service groups in the UAE end up running the real repair process on paper or a spreadsheet beside Odoo, then re-typing totals in for invoicing — which is exactly where warranty exclusions, insurance-excess splits and special-order parts quietly get lost.

What I build in Odoo for this industry

The goal is one system of record: everything that happens to the vehicle, and everyone who needs to see it — advisor, technician, store, insurer, customer, security — works off the same job card instead of a parallel paper trail.

One job card from drop-off to delivery

A single repair order carries the vehicle through intake (odometer, fuel level, reported complaints), inspection, estimate, approval, work-in-progress, quality check and ready-for-pickup, each stage timestamped and tracked, with jobs held for waiting-on-parts, waiting-on-approval, waiting-on-customer or at-sublet so nothing silently stalls. Bays are scheduled on a colour-coded calendar by type (general, alignment, body and paint, A/C, diagnostics); a booking made through online Appointments can become a draft job card in one click, and a job needing an on-site technician can be pushed out as a Field Service task with its own mobile checklist and timesheet.

Digital inspection that becomes the upsell

Technicians work through a configurable checklist (engine, brakes, suspension, electrical, tyres, fluids, body) marking each item OK, Attention or Fail with a photo and note. One action pushes every Attention or Fail item that has a recommended operation straight onto the estimate as a priced labor line, and the same inspection photos can be filed automatically into the document library against that job.

Customer self-service: approve, sign, rate

Customers see their own repair orders on a portal and approve the estimate online with one click. Where a shop requires it, the estimate can be routed for e-signature before work is allowed to start, and after delivery the same portal captures a 1-5 rating and written feedback against that specific job.

Billing logic built for warranty and insurance work

Any part or labor line can be flagged warranty-covered, which zeroes it out for the customer automatically. Insurance jobs split the invoice in two: the insurer is billed the full work less the customer's excess, and the customer is billed only the excess, while deposits collected up front are tracked against a running balance due.

Paperwork the shop floor actually needs

Beyond the customer invoice, the system prints a technician job card with no prices (just the work list and a QC sign-off line), a parts requisition slip for the store, a warranty claim form pulling the vehicle's warranty expiry and diagnosis together, and a gate pass with intake-versus-delivery odometer and fuel level for the customer, advisor and security to sign at the exit.

A live view of the workshop, and of every vehicle

A dashboard shows open and overdue jobs, average cycle time, the parts-versus-labor split and which operations are performed most, drawn from the actual order data. Overdue jobs auto-escalate to the advisor, next-service reminders go out to customers on a configurable lead time, and every vehicle carries its own full service history for warranty or resale checks.
