Odoo for Facilities Management & Preventive Maintenance

One system from a signed maintenance contract to a scheduled visit to field execution to the invoice — instead of planned maintenance run on spreadsheets and email.

The challenge

A facilities-management firm's complexity isn't transaction volume, it's asset spread. One annual maintenance contract (AMC) can cover chillers, freezers, HVAC units and kitchen or catering equipment scattered across a dozen client sites, each asset on its own inspection frequency and each contract carrying its own SLA response times. A generic helpdesk or ticketing tool logs a complaint well enough, but it doesn't know an asset's warranty status or service history, doesn't turn a signed contract into a visit calendar, and doesn't tie a technician's checklist back to the contract that promised it.

So the schedule ends up living in a spreadsheet, PPM due dates get tracked from memory or a shared calendar, and the only evidence a visit happened is whatever a technician reports back informally. That's where visits slip, SLA breaches go unnoticed until a client escalates, and billing runs behind because nobody has one clean record of what was actually delivered against which contract. My approach: design the system around the equipment and the contract, not the ticket, so the checklist, the PPM calendar and the invoice all read from the same record.

What I build in Odoo for this industry

Six pieces that work together as one system, built around the asset and the contract rather than bolted on around a ticket:

Central Check-Point Library

A library of check-points — individual inspection items — organized by equipment category, so a chiller, a freezer, an HVAC unit and a kitchen exhaust system each draw on their own reusable checklist instead of one being copied and hand-edited for every new site. Add a category once, and every asset in it can compose its checklist from that same maintained library rather than from whatever survived the last copy-paste.

QR-Tagged Equipment & Asset Register

Every piece of equipment under contract gets its own asset record — a unique QR tag number, site and location, warranty window and full service history — instead of living as a line on a spreadsheet. Scanning the tag on-site pulls up that asset's history and its category checklist directly, so the technician works from the equipment's own record rather than paperwork carried from the office.

AMC Management & Auto-Generated PPM Calendar

Each annual maintenance contract records the assets it covers, the visit frequency per asset and the SLA terms attached to it. Confirming the contract auto-generates its planned-preventive-maintenance calendar — every recurring visit, per asset, scheduled out for the life of the contract — instead of a coordinator maintaining that schedule by hand in a spreadsheet that quietly drifts out of date.

Field-Service Workflows for Reactive & Planned Work

Reactive complaints, scheduled inspection visits and corrective jobs all run through one field-service workflow rather than three separate processes. A technician gets the visit dispatched to a mobile device with the relevant checklist attached, records before/after evidence on-site, and closes the job with a customer sign-off — so there's a record of what was actually checked and fixed, not just that a visit was logged.

SLA Tracking Against Contract Response Times

Each contract's response and resolution-time commitments are tracked against the actual timestamps on every complaint and job, so a visit running late against its SLA is visible before it breaches rather than after a client raises it. SLA compliance becomes something the system watches continuously, instead of something reconstructed after a complaint escalates.

Consumables, Spares & Contract Billing

Spares and consumables used on a job are recorded against both the asset and the contract that covers it, so billing — the AMC invoice, a chargeable extra visit, a spares recharge — reads from the same contract record as the schedule and the checklist. The result: a single system from signed contract to scheduled visit to field execution to invoice, instead of planned maintenance run on spreadsheets and email.

This runs on standard Odoo, extended rather than replaced: Maintenance carries the equipment register, QR asset tags and the preventive-maintenance schedule, Field Service dispatches technicians with mobile checklists and captures sign-off, Helpdesk logs reactive complaints, Sales manages the AMC contracts, Inventory tracks spares and consumables, and Accounting ties invoicing back to the contract. In total, this build spans 6 Odoo modules.
