Out of the box, Odoo's CRM tracks a lead through to a quotation, but it doesn't know what the job actually costs to deliver, who should be allowed to see it, or what proof exists that the work got done. Professional services and project-based firms end up costing jobs in spreadsheets, chasing paper delivery notes before they can invoice, and giving every salesperson visibility into every deal because nobody configured the access rules. The result is margin that stays invisible until the job closes, and a CRM and Projects setup that looks active without actually running the business.

Pre-quote job costing
Sales opportunities carry a structured cost breakdown before they ever become a quotation — material, labour, overhead and miscellaneous costs, with margin shown both before and after any discount. Profit can be loaded as a percentage or a fixed amount, and material lines can pull straight from a bill of materials, so reps quote from real cost data instead of a gut-feel number.
Lead-to-job continuity
A qualified opportunity generates a production job or a sales quotation in one click, and linked project tasks stay synced to the quotation line they came from. If a deal falls through, cancelling the order automatically cleans up the project, tasks and lines it created, instead of leaving orphaned records behind.
Job documentation and completion reporting
Sales orders carry job-specific fields — site location, start and completion dates, purchase-order reference — with purchase-order and delivery-note files attached and previewable inline as PDF or image. A client-facing job-completion report is generated alongside the invoice, giving service and installation teams the documented proof of work that clients and auditors expect before releasing payment.
Layered visibility across CRM and Projects
Project managers and assignees see only their own projects and tasks, enforced through record rules rather than hard-coded checks. CRM leads are similarly split into personal, team and company-wide visibility tiers, with an additional restricted tier available for sensitive or specialised pipelines, so confidential deals stay visible only to the people who should see them.
Automatic cost-center tagging
Sale order lines, invoice lines and expense entries pick up the correct analytic account automatically, driven by the sales team on the deal or a configured company default, so job-costing and departmental reporting stay accurate without relying on staff to tag every line by hand. Journal items can also be grouped and reported by analytic account directly inside Accounting.
Adoption details that keep it in daily use
Tagging a colleague in an internal note creates a real to-do activity and notification instead of a comment nobody reads. The notify-everyone checkbox on chatter messages defaults off to prevent accidental mass emails, and role-based dashboards summarise CRM, sales and accounting KPIs per team instead of one generic home screen.
