The challenge
Here's the pattern I run into on almost every UAE community and property management engagement: each owners association is run as its own legal entity, but generic ERP treats multi-company as an afterthought. Finance ends up rebuilding the same Mollak-mandated chart of accounts and reserve-fund tracking on every new community, then reconciling receivables, payables, and cash position one entity at a time.
The parts of the job that sit around the accounting rarely make it into the system at all. Competitive tendering for maintenance contracts, and vendors who service a dozen communities but only want to log in once, both tend to stay stuck in spreadsheets and email even after the books move onto software.
What I build in Odoo for this industry
Six pieces that work together as one system, not six separate add-ons bolted onto a generic install:
Mollak-Ready Chart of Accounts
New owners associations are provisioned with the full Mollak-aligned chart of accounts and account groups out of the box, covering service-charge categories such as MEP and infrastructure maintenance, landscaping, road and marine maintenance, insurance, community improvements, and the reserve fund, so budgeting and RERA service-charge reporting match the mandated structure from day one instead of being rebuilt for every new community.
Portfolio-Wide Financial Health Reporting
A cross-community dashboard rolls up receivables and payables, including balances aged over 365 days, developer current-account exposure, master-community charge liabilities, utility payables, and reserve-fund ledger-versus-bank reconciliation for every managed community at once, exportable to PDF or Excel, so management can spot a community falling behind without opening its books individually.
Daily Cash and Cheque Treasury Control
A daily report tracks opening balance, receipts, payments, and bank deposits for both cash and cheques, per community, alongside controlled internal cash-to-bank transfers and per-user journal restrictions, giving finance a same-day liquidity snapshot across the portfolio while limiting who can post through which till or bank journal.
Governed Period Close and Backdating
Hard-lock and fiscal-year lock dates are managed per community from a single list instead of company by company, while a controlled backdating tool requires a remark and leaves a trail for any correction to a posted sales, purchase, or accounting record, replacing ad hoc period unlocking with an auditable process, backed by trial balance, general ledger, and balance sheet reports formatted to what finance and auditors expect.
Auditable Vendor Tendering
Maintenance and service contracts go through a structured tender where vendors submit quotations broken into material, labour, and overhead lines, the system flags the lowest bid and lets the board compare submissions side by side, and the winning quotation converts directly into a purchase order, keeping the record of why a vendor was chosen attached to the resulting spend.
Self-Service Vendor Portal Across Communities
A contractor who services several communities logs into one portal account, switches between the companies they work for, raises their own bill against an approved purchase order with supporting documents attached, and requests credit notes online, cutting the manual invoice entry and email chasing that otherwise falls on accounts payable.
Odoo apps involved
This runs on standard Odoo, not a bespoke platform: Accounting for the community books, Multi-Company to keep every owners association separate and reconcilable, Purchase and Portal for the vendor-facing side, Dashboards for the portfolio view, and Studio and Sign for report formats and sign-off paperwork. In total, the build spans 33 Odoo modules.
