Odoo University Management System for Higher Education

One database for the entire student lifecycle, from a prospective student's first application to a QR-verifiable transcript. I designed and built this 18-module University Management System on Odoo 19, and it's ready to deploy for a higher-education institution.

The challenge

Most university technology stacks are really four or five separate systems sharing one login page: a recruitment CRM that doesn't talk to admissions, a student information system that doesn't talk to the learning platform, a finance system that recalculates tuition by hand because per-credit-hour billing was never native, and a compliance file rebuilt every accreditation cycle from scattered exports. Grades get reconciled in a spreadsheet before they become a transcript.

None of that is any one system's fault — it's what happens when recruitment, academics, finance and compliance are bought as separate products and stitched together afterwards. Higher education needs one data model that every part of the institution reads from and writes to. So I designed and built a University Management System entirely on Odoo 19: 18 modules covering the full student lifecycle on one database, ready to deploy end to end.

What I build in Odoo for this industry

Seven pieces, all reading from and writing to the same student record, not seven apps stitched together after the fact:

Bilingual Recruitment, Admissions & Enrollment Handover

A bilingual (English/Arabic) website feeds an apply-now form into a recruitment CRM. Admissions runs a weighted composite score, committee review, and document verification, enforcing seat and gender quotas as bilingual offer and rejection emails go out automatically. One click hands the applicant to the student information system and mints a university ID.

Student Information System & Registration Rules Engine

Every registration passes through a rules engine first: financial and academic holds, prerequisite graph checks, credit-hour ceilings that tighten under probation, timetable-clash detection, section capacity, and gender-segregated sections where required. A bad registration is stopped at the point of entry, not caught weeks later in a cleanup report.

Academic Calendar, Timetabling & Learning Delivery

A dual Hijri-Gregorian calendar drives timetabling and exam scheduling throughout. Assignments, rubrics and attendance live natively on the student record, with an LTI integration point so the institution can plug in an external LMS without splitting academic history across two systems.

Grading, Transcripts, Graduation & Digital Credentials

A grading engine computes credit-hour-weighted term GPA and cumulative CGPA, with bilingual honors bands and a QR-verifiable bilingual transcript. A graduation module runs a degree audit against the study plan before clearance, and a digital-credentials module issues QR- and serial-verifiable badges and certificates, with an Open-Badges-style export checkable independent of the university's portal.

Finance: Per-Credit-Hour Billing & E-Invoicing

Tuition is computed per credit hour rather than a flat term fee, so charges track what a student actually registers for. National e-invoicing fields — UUID, hash chain, QR — sit directly on the finance documents, so compliance is built in rather than bolted on.

Faculty Load, BI & Accreditation Reporting

An HR module tracks faculty teaching load against the timetable it feeds. A BI/KPI dashboard surfaces the numbers leadership checks, and an accreditation module maps program- and course-level learning-outcome coverage from live academic data, instead of a report rebuilt by hand every review cycle.

Personalized Pathways, Self-Service Portal & Identity/Access

A personalized-pathways (LXP) module adapts coursework to each student's progress. A bilingual student/parent portal shares the same record, with consent and subject-access-request tracking built in. An identity/access module adds SSO/MFA, SCIM-style provisioning, and an append-only, ORM-enforced audit log — so who changed a grade, and when, stays answerable.

Odoo apps involved

This is 18 purpose-built modules on the Odoo 19 framework, sharing one database, not a handful of standard apps configured for a new industry. Several extend core Odoo apps — Website and CRM carry the apply-now funnel, Accounting carries per-credit-hour tuition and e-invoicing, HR tracks faculty load, Portal carries student and parent self-service, Dashboards builds the BI/KPI layer — while admissions, the student information system, the rules engine, grading, graduation, credentials and accreditation mapping are purpose-built for the student lifecycle.
