Odoo for Engineering & Technical-Services Contracting

One system that takes a bill of quantities from priced estimate to a job number — costed through delivery, billed against contract retention terms, and still connected when the installed equipment comes back for its first AMC renewal.

The challenge

Technical-services contracting doesn't start with a sales order — it starts with a bill of quantities. An MEP, HVAC or fit-out estimator prices a job from measured items, each one broken into material, labour, subcontract and margin, long before anything reaches a generic quotation screen. Off-the-shelf ERP sales and project apps weren't built around that structure, so the BOQ gets priced in a spreadsheet, the quotation gets keyed in separately, and the two are already out of sync before the job is even won.

Win the job and the disconnect gets worse. Purchase orders, labour timesheets and subcontractor bills pile up with no structured link back to what was actually budgeted per cost head. Progress certificates get raised and retention gets withheld by hand, off a spreadsheet nobody reconciles against the ledger. And once handover happens, the equipment installed on site and its warranty dates live nowhere a service team can find them when the AMC renewal comes due. My fix is a single data model: the BOQ becomes the budget, the budget becomes the job, and every cost, certificate and piece of installed equipment stays attached to that same job number all the way through.

BOQ Estimation & Rate-Analysis Quoting

A custom bill-of-quantities module builds the priced quotation the way estimators actually work: measured items, each one costed through a rate analysis that breaks it into materials, labour, subcontract and margin. The BOQ is the quotation, not a spreadsheet that gets summarised into one — so the number the customer signs is the same number the job gets built on.

BOQ-to-Job Conversion With Budgets per Cost Head

Converting a won BOQ into a project or job seeds its budget directly from the priced estimate, split per cost head — materials, labour, subcontract, equipment — instead of a project manager re-typing numbers from the quotation into a blank budget screen. What was priced is what gets tracked.

Job Costing: Budget vs Actual, Committed Cost

Every purchase order, labour timesheet and subcontractor bill lands against the job number, so budget-versus-actual per cost head is live rather than a month-end reconstruction. Committed cost — purchase orders raised but not yet billed — sits alongside actual spend, so a job's true exposure is visible before the next invoice ever arrives.

Progress Billing With Contract Retention

Certificates are raised against completion percentage or agreed milestones, with contract retention withheld automatically on each one rather than calculated by hand. Retention released per the contract's own terms — typically tied to practical completion and the defects-liability period — stays tracked against the job instead of living in a side ledger someone has to remember to chase.

Field Service Operations for Site Teams

Technician and site-team scheduling, mobile work orders and checklists cover the maintenance visits, snagging and callbacks that follow after handover — dispatched and closed out from the field rather than logged after the fact back at the office.

Installed-Equipment & Warranty Tracking for AMC

Every piece of equipment installed on a job is tracked against the customer's site, with its warranty dates attached — so when an Annual Maintenance Contract comes up for renewal, or a warranty claim needs checking, the record is already there instead of being rebuilt from an old handover file.
